Chat Privacy Notice

This short notice explains what happens to your information when you use the chat on this website.
You are chatting with an AI assistant
The chat assistant is called Aiva. Aiva is an AI system, not a person. The chat header shows "Aiva · AI assistant" the whole time Aiva is helping you, so you can always see that you are talking to an AI. You can ask for a human at any time. If a member of the website's team takes over the conversation, you will be told.
Who is responsible for your data
The website you are visiting is responsible for your data. They decide why the chat is used and what happens with your messages. In data protection terms, they are the controller.
Assistify provides the chat technology on the website's behalf. We are the processor: we handle your data only on the website's instructions. If you want details about how the website itself uses your data, please check that website's own privacy policy.
What the chat collects
When you use the chat, the following information may be collected:
- an anonymous chat identifier created in your browser;
- your IP address, and an approximate location (city, region, and country) worked out from it; we do not store your precise position;
- your device, browser, operating system, browser language, and timezone;
- the page you are on, the pages you visit, the page you came from, and any campaign (UTM) tags in the link you used;
- the messages you send in the chat, and any files you upload;
- if you choose to provide them, your name, email, and phone number;
- a Discord identifier, if you sign in to the chat with Discord;
- an optional satisfaction rating and comment, if you choose to leave one.
Why the chat collects it
Your information is used to run the chat and answer you, to keep the service secure and prevent abuse, to monitor and fix errors, and to produce aggregated statistics. These uses are based on legitimate interests. A persistent identifier recognises you on a later visit and restores your earlier conversation; it is a functional part of the chat service and is on by default. You can opt out at any time, and the chat still works fully for your current visit without it. Assistify does not use your information for marketing and does not use identifiable conversation data to train AI models. If the website chooses to reuse information you provide (for example your email) for its own marketing, that is the website's decision as the controller, and the website is responsible for asking for your consent.
How long it is kept
These retention periods are uniform across all websites that use Assistify:
- chat conversations and messages: 12 months after the conversation closes;
- a conversation left open or abandoned: automatically closed after 30 days with no activity, then the 12-month period starts;
- uploaded files: 90 days;
- anonymous visitor session records: 30 days.
Automatic deletion runs every day.
Who can see your chat data
- The website's team. The business whose website you are using can read the conversations on its own chat.
- Assistify. We host and operate the chat. Uploaded files are kept in Assistify's own EU-based storage.
- Assistify's service providers. A small number of trusted providers help run the chat: AI language-model providers, in the EU and the United States, that generate the chat's automated replies and do not train their models on your data; an email provider; and an error-monitoring provider. The website may also choose to connect the chat to its own tools, such as an e-commerce platform (for example Shopify) or a messaging channel (for example Discord, Slack, or Telegram). When the website turns those on, your data flows to the services it has chosen.
Data outside the EU
The chat and its main database are hosted in the EU. Some of Assistify's service providers are based outside the EU, for example in the United States; this includes the AI that powers Aiva. When data goes to them, it is protected by appropriate safeguards, such as the European Commission's Standard Contractual Clauses or the EU-US Data Privacy Framework.
Your privacy rights
You have rights over your personal data, including the right to access it, correct it, delete it, restrict or object to its use, and ask for a copy of it (Articles 15 to 22 of the GDPR).
Because the website you are using is the controller of your chat data, please exercise these rights by contacting that website's team directly. They can usually action your request quickest, and Assistify gives them tools and support to do so. Requests are answered within one calendar month.

You also have the right to complain to a data protection supervisory authority in the EU or EEA country where you live or work.
